Rose City Rollers Membership Coordinator Job Description

The Rose City Rollers (a 501c3) are looking for a Membership Coordinator to oversee our membership management system and support our members’ needs.

Living our league’s core values is a must, as are being creative and resourceful. Who are we? Rose City Rollers is an 18-year-old fearless sports organization that prides itself in being body positive and an empowering space for women, girls, and gender-expansive individuals. We are the largest roller derby league globally with 400+ members, ages 7-55+. Members and their families are engaged, they volunteer and can be opinionated, but they do so because they are passionate about derby, its impact, and our community.

Membership Coordinator Job Duties:

  • Manage the RCR membership management system (Wild Apricot), including:
    • Inputting new members, including bundle management
    • Payment reconciliation includes following up on nonpayment, expired cards and tracking daily payments for the bookkeeper.
    • Maintain accurate member data – contact info, insurance status, vaccination status, scholarships, skater levels, group participation, sub levels, etc.
    • Troubleshooting member issues associated with data management, dues payments, etc.
    • Process documentation
  • Respond to member emails relating to dues, membership status, and systems access
    SharePoint upkeep and membership access
  • Manage annual signing of the member contract and document in user Apex account
  • Research and implement new processes to create efficiencies
  • Perform other duties as assigned

Skills and Qualifications:

  • 2+ years experience with membership management software or a CRM platform; Wild Apricot experience preferred but not required
  • Customer service skills, including de-escalation, spotting trends, and general communication skills
  • Must be tech-savvy: quick at self-learning, tech resourceful, and good at process improving via tech
  • Experience with cloud-based collaboration software (e.g., SharePoint, Trello, O365)
  • Adept at project management processes
  • Exceptional written and verbal communication skills
  • Excellent organizational skills with outstanding attention to detail
  • Positive, “can-do” attitude with a high degree of initiative and the ability to work with diverse groups of people or independently.
  • Experience supervising volunteers and delegating effectively
  • Have a personal computer capable of running needed software
  • Must be able to pass a background check
  • Must be fully vaccinated and boosted against COVID-19

Work Schedule: This position is half-time at 20hrs/week. Work is typically done from your home office M-F, with some weekend and evening work. The exact hours are flexible but need to be consistent.

Compensation: $20-24/hourly non-exempt, reviewed annually. Benefits include paid vacation, holiday pay, sick time, a flexible schedule, a monthly tech stipend, and participation in the Oregon Saves retirement savings program. Full-time benefits include medical, dental, and vision.
